Add or edit each authorised signer — their code, unit (ASU / BSS / Treasury), name, title and a scanned signature image. Letters auto-pick signers by unit; a Treasury letter needs two signers in the Treasury unit. These appear at the {{Signature}}, {{Signatory}} and {{Signatory Title}} lines. Officers then choose a signer per letter in Compose & Generate.

How to use
What this is. A self-service tool that merges a data export into a VMBS-branded letter and produces a print-ready PDF or Word document. It runs entirely in your browser: no data leaves this computer and nothing is uploaded to a server.
Generate a single letter
- Go to Compose & Generate and pick a letter type.
- Keep Enter one letter selected and fill in the fields.
- Click Update preview, then Save PDF (or Download Word). For PDF, choose Save as PDF in the dialog.
Generate letters in batch
- Download the data template for the letter (Excel or CSV) — its columns are the letter’s fields — fill one row per letter, or export straight from Signature 10. The first row must be the column headings.
- Choose Upload CSV / Excel (batch), download the pre-labelled data template, fill one row per letter, and upload it.
- Check the field mapping (columns are auto-matched by name), then click a record to preview it.
- Save all as PDF / All as one Word gives one combined file (one letter per page); ZIP of separate letters gives one Word file per letter in a .zip.
Create a letter from a sample (no setup). In the Template Library, click New from a sample letter and paste the body of a real letter. The app detects the parts that change — amounts, dates, account numbers, names, references — and turns them into fillable fields automatically. Review the result, rename anything, select any other text and click Make selected text a field, then save. From then on it behaves like any other letter: pick it, fill the form or upload a CSV, and print. Nothing is sent anywhere — detection runs entirely on this computer.
Adding & editing letter types manually. Open the Template Library. Write the letter body and insert merge fields with double braces, e.g. {{Customer Name}}, {{Account Number}}. Any field you reference automatically appears in the manual form and as a mappable CSV column. Special auto-fields: {{Date}} (today), {{Signatory}}, {{Signatory Title}}.
Aligned tables (used by the audit confirmation letters). Wrap lines between {{#table}} and {{/table}}, one row per line, with :: between the label and the value — for example Account Number :: {{Account Number}}. This renders as a neat two-column table.
Audit confirmation letters. Three ready templates model the real VMBS letters — Savings, Time Deposit, and Loan. These are addressed to an external auditor and carry their own recipient, date, and signature, so fill fields such as {{Audit Firm}}, {{Requesting Entity}}, and the account details.
Signers & signatures. Under Settings, add each signer (ASU, BSS, Treasury) with their name, title and a scanned signature image. On Compose & Generate, pick the signer for the letter — their signature, name and title appear at the {{Signature}} / {{Signatory}} / {{Signatory Title}} lines.
Output formats. Each letter can be saved as PDF (print dialog → Save as PDF) or downloaded as an editable Word document — singly or for a whole batch.
History & Reports. Every generation is recorded locally. The History & Reports tab shows a monthly heat-map of activity and headline totals, and lets you export a report of everything generated in any date range as PDF, Word, Excel or CSV.
Letterhead & sources. Under Settings you can upload an updated VMBS logo, edit the letterhead and footer, and maintain the list of input data sources (Signature 10, NETGI, etc.).
Growing to all 57 letter types. The sample templates are starting points with placeholder wording — replace the text with the approved VMBS copy for each letter. As you build them out, this library becomes a ready reference set to hand to the ACL vendor. Use Export library to back it up or share it.
